All transactions on our platform are protected by our professionally managed escrow system. When a dispute arises, 100% of the transaction funds are immediately frozen in our separate escrow account managed by Chatbot Solutions LLC. No funds are released to either party until we complete manual arbitration and make a binding decision. Based on the outcome, we either release funds to the developer or refund the buyer - directly from our escrow account.

1. When to File a Complaint
1.1 Filing Deadlines
- Immediate Issues: Within 7 days of delivery for problems discovered during initial testing
- Hidden Defects: Within 30 days of delivery for issues that weren't immediately discoverable
- Non-Delivery: Anytime if developer hasn't delivered within 48 hours of purchase
1.2 Hidden Defect Criteria
To file after 7 days, you must prove the issue wasn't immediately discoverable:
- Bugs that only occur under specific conditions not tested initially
- Problems that emerged after full integration into your system
- Defects concealed or not mentioned in documentation
- Issues with features you took reasonable time to test

3. Resolution Timeline

Hour 24/48+: Decision & Execution

- • Without appeal, decision is final
4. Developer Non-Response
4.1 Consequences of Non-Response
- Automatic Probation: Developer is immediately placed on probation status
- Arbitration Proceeds: Decision made based on buyer's evidence alone
- Non-Response Noted: Failure to respond is documented in the decision
- Account Standing: Affects future transactions and visibility
- NOT Automatic Loss: Arbitrator still evaluates evidence fairly
4.2 Why Non-Response = Probation
Even if the complaint is frivolous, failing to respond shows:
- Lack of professionalism and commitment to customer service
- Potential abandonment of buyers
- Unwillingness to engage in fair dispute resolution
- Risk to future customers
5. Possible Arbitration Outcomes
Complaint Dismissed (Developer Favor)
Buyer's complaint is found to be invalid or without merit.
- • Escrow released to developer per normal schedule (85% immediate, 15% held 3-7 days via Automatic Delivery System)
- • No penalties for developer
- • Frivolous complaint noted on buyer's account
- • If developer didn't respond: still on probation despite winning
Partial Resolution (Split Decision)
Both parties have valid points; compromise required.
- • Partial refund issued to buyer (25-75% of payment)
- • Developer receives remaining amount
- • May include requirement for developer to fix issues

Full Refund (Buyer Favor)
Developer failed to deliver as promised or violated terms significantly.

- • License access revoked from buyer
Order Completion Required
Developer must complete delivery or fix issues before payment release.

- • Escrow remains frozen until completion
- • If not completed: full refund to buyer
6. Platform Delay Compensation
We guarantee decisions within 24 hours (serious) or 48 hours (minor). If we're late:
- $50 Platform Credit: Automatically issued to buyer for the inconvenience
- Priority Escalation: Case moves to senior arbitrator immediately
- Status Updates: Buyer notified of delay reasons via email
- Maximum 72 Hours: Guaranteed decision within 3 days of filing
- Escrow Protected: Funds remain frozen throughout delay
7. Appeals Process
7.1 Eligibility Requirements
Appeals are only accepted if:
- Substantial New Evidence: Evidence that wasn't available during initial arbitration
- Material Impact: The new evidence would likely change the outcome
- Timely Filing: Submitted within 7 days of original decision
- First Appeal: Only one appeal allowed per complaint
7.2 Appeal Process
- Either party (buyer or developer) files appeal with new evidence
- Opposite party has 48 hours to respond to new evidence
- Senior arbitrator reviews original case + new evidence
- Decision made within 72 hours of appeal filing
- Appeal decision is absolutely final - no further appeals
7.3 Frivolous Appeal Penalty
If an appeal is deemed frivolous (no substantial new evidence, or attempting to re-argue same points):
- $25 fee charged to appellant
- Original decision stands unchanged
- Notation on account about frivolous appeal attempt
- May affect future complaint privileges
8. Binding Nature of Decisions
Arbitration decisions are:
- Legally Binding: Enforceable like a court judgment
- Final: No further recourse except appeal with new evidence
- Executed Immediately: Refunds and payments processed right away
- Permanent Record: Documented on both parties' accounts
9. Good Faith Requirement
All parties must engage in the dispute resolution process in good faith:
- Buyers: File complaints only for legitimate issues, provide honest evidence
- Developers: Respond promptly, provide truthful information, work toward resolution
- Platform: Review objectively, make fair decisions, execute promptly
Violations of good faith (false evidence, harassment, manipulation) may result in:
- Immediate account suspension
- Permanent ban from platform
- Withholding of all escrow funds
- Legal action for fraud
10. Copyright Violation Policy
10.1 What Constitutes a Copyright Violation
The following actions are strictly prohibited and constitute copyright infringement:
- Unauthorized Resale: Reselling, sublicensing, or redistributing a developer's chatbot or code without written permission
- Code Cloning: Copying, repackaging, or publishing a developer's chatbot under a different name or brand
- Reverse Engineering: Decompiling or extracting proprietary logic to reproduce or replicate the chatbot
- License Circumvention: Using a Standard license for Enterprise-level deployment, or sharing access with unauthorized third parties
- Chargeback Fraud: Initiating a payment reversal after receiving and using the delivered chatbot files
10.2 Procedure for Reporting a Violation (Developers)
- Document all evidence immediately (screenshots, URLs, dates of discovery)
- Email support@chatbots4sale.com with subject line: COPYRIGHT VIOLATION REPORT
- Include your Developer ID, chatbot product number, and all collected evidence
- Our team investigates within 48 hours and suspends infringing accounts if evidence is clear
- We issue DMCA takedown notices to any third-party platforms hosting stolen content
- We provide transaction records and documentation to support any independent legal action you pursue
10.3 Buyer Obligations Under License Agreement
When you purchase a chatbot on Chatbots4Sale, you legally agree to:
- Use the chatbot only within the scope of your purchased license tier (Standard, Premium, or Enterprise)
- Not redistribute, resell, or share the source code or bot files with any third party
- Acknowledge the developer retains full copyright and intellectual property ownership
- Not modify and re-sell the chatbot as an original work of your own
10.4 Consequences of Copyright Violations

- • All escrow funds frozen and forfeited
- • All purchased licenses revoked
- • Reported to payment processors
Legal Consequences
- • DMCA takedown notices issued
- • Full cooperation with law enforcement
- • Civil damages up to $150,000/violation (U.S.)
- • Criminal referral for willful infringement

11. Governing Law & Venue
This Dispute Resolution Policy and all arbitration decisions are governed by the laws of the State of Florida. In the rare event that a dispute cannot be resolved through our arbitration system, any legal proceedings must be brought in the state or federal courts located in Marion County, Florida.
How Escrow Works During Disputes
Step 1: Complaint Filed
When a buyer files a complaint, Chatbot Solutions LLC immediately freezes 100% of the transaction funds in our escrow account. The developer cannot access these funds until the dispute is resolved. Our team is notified and begins manual review.
Step 2: Evidence Collection
Both parties submit evidence. Funds remain frozen in our escrow account throughout the review process. We hold all evidence securely and review it manually to ensure fair outcomes.
Step 3: Manual Arbitration
Chatbot Solutions LLC team manually reviews all evidence and makes a binding decision within 24-48 hours. We consider all facts objectively. Funds remain safely held in our separate escrow account during this time.
Step 4: Escrow Distribution
Based on our decision, we manually release funds from the escrow account:
- Developer wins: We release escrowed funds to developer
- Buyer wins: We refund buyer from escrow account
- Split decision: We divide escrow funds proportionally
All escrow releases are processed manually by Chatbot Solutions LLC within 24-48 hours of the decision.
